Reporting on Course Tags

Reporting on Course Tags

Info
This article will be most useful for Concourse Admins.

Overview

Course Tags are a feature that allow you to categorize Concourse syllabi beyond their domain, subject area, or other course metadata. With Course Tags, courses in your system across the curriculum can be identified as having similar characteristics, requirements, or policies. In addition to these benefits for system data management, Course Tags can also be used to streamline reporting on content accuracy and completion. Instead of generating multiple reports to comprehensively gather data on courses that span multiple domains or subject areas, a single report can be generated to include all courses to which a specific Course Tag has been applied.

To learn more about reporting on Course Tags, continue reading or watch the video below for a demonstration.

Before You Begin

Course Tag usage is included in several different Concourse reports. Keep in mind that not all reports are available to all users in your system. If a user is unsuccessful in their attempts to generate a Concourse Report, it is likely due to their system or domain permissions. The user’s account can be updated to grant them access to more reports.

Course Tag Data in Course Reports

The Labels of Course Tags applied to courses are included in the extended CSV downloads of the following Course Reports and Activity Reports:
  1. Item Report
  2. Missing Item Report
  3. Multi-Item Tabular Report
  4. Audit Report
  5. Syllabus Access by Course Report
  6. Syllabus Changes by Course Report
  7. Curriculum Vitae Report
To view the Labels of Course Tags applied to courses in one of the listed reports, generate the report and then select Download Extended CSV to the upper-right of the report in the Concourse interface (see representative image below). The spreadsheet containing Course Tag Labels will be available in your device’s Downloads folder.

Generating a Tag Utilization Report

Concourse System Admins may also report on overall Course Tag usage in your system. To generate a Tag Utilization Report, follow these steps:
  1. In the main navigation menu, select Reports.
  2. In the Concourse Report Center, locate System Reports and then select Tag Utilization.
  3. The resulting table presents the Label, External ID, and Definition for each Course Tag in the system, along with the number of courses (and representative percentage) to which each Course Tag is applied (see image below).
  4. Select a number in the Courses column to find a listing of all courses in the system to which a single Course Tag is applied.
  5. Select Download CSV to generate a spreadsheet of the Tag Utilization Report if desired.

If the Tag Utilization Reports reveals that Course Tags are not applied as expected throughout the system, System Admins or Domain Users may apply or remove Course Tags as needed. See the Setting Course Tags help article for more information.

Course Tags in the API

Your institution may have enabled API in your Concourse system in order to generate large amounts of data that can be used for reporting. The application of Course Tags to individual courses is revealed by the Syllabus Content API, and you can program API calls to pull this information. The API produces output in a JSON format that includes applied Course Tag Labels and External IDs; in the JSON format, Course Tags can be found immediately after syllabus section data (see image below).

See the API - Syllabus Content help article for more information about retrieving syllabus content in JSON format.

Best Practices and Recommendations

Remember that Concourse Reports are a reflection of the data in your system. If data in any reports appears inaccurate, investigate what may be causing the discrepancy so that it can be adjusted and then refer to the reports again to confirm the accuracy of changes. Here are some other best practices that will help you get the most out of reporting on Course Tags.
  1. Some stakeholders at your institution may need access to Concourse Reports but not have Concourse accounts or reporting permissions. Instead of managing accounts to give users access to reports, it may be more efficient to download CSV spreadsheets of Concourse reports that can be cleaned up or filtered and then shared with the stakeholders.
  2. The final column of the Tag Utilization Report shows the number of courses to which each Tag is applied. This number includes hidden courses. If the number of courses in this column doesn’t appear to match the search results for syllabi to which the Tag is applied, consult the Hidden Courses Report to find courses that may have been excluded from search but still contain the Tag.
