Overview
Ensuring your Concourse system’s domain hierarchy and domain permissions are correct is an important part of regular system maintenance. As programs at your institution grow or change, domains must be updated and domain permissions must be managed so that new syllabi can be created and managed correctly. The Domain Structure Report and Domain Permissions Report provide a snapshot of your current system organization and domain permissions to help you understand what adjustments need to be made.
Before You Begin
Before you start using the Domain Structure and Domain Permissions Reports, you should be aware of the following:
- The Domain Structure Report can be accessed only by system administrators and users who can set domain permissions.
- The Domain Permissions Report can be accessed only by users who can set domain permissions.
- If other stakeholders at your institution should have access to one of the Domain Reports but cannot access the information in Concourse, you may download a CSV of the reports to share externally.
With this information in mind, let’s access the Domain Reports.
Generating a Domain Structure Report
To generate a full listing of your Concourse domains, follow the steps below.
- Select Reports in the main navigation menu.
- Locate System Reports in the Report Center.
- Select View> in the Domain Structure Report panel.
- On the subsequent page, a table identifies all domain combinations in the system and the number of courses in each domain combination (image below). You may select the numbers in the courses column to search for all courses that match each domain triplet.
- If you would like to access the results in CSV format, you may select Download CSV at the top-right of the report table.
Generating a Domain Permissions Report
To generate a list of all users in your system with a specified domain permission, follow the steps below.
- Select Reports in the main navigation menu.
- Locate User Reports in the Report Center.
- Select View> in the Domain Permissions Report panel.
On the next page, select a domain permission to be included in the report (Administer, Edit, Report, or Audit) and then Next (image below).
- On the next page, a table identifies all domain combinations in the system and the names and email addresses of users assigned the specified permission for each domain (image below).
- If you would like to access the results in CSV format, you may select Download CSV at the top-right of the report table.
Reminders and Recommendations
When using the Domain Structure and Domain Permissions Reports, keep the following recommendations in mind:
- The Domain Reports show information about the entire Concourse system, not just a selection of domains. If you need information about a specific domain, you may use the sort option to find the information you need more quickly.
- CSV downloads don’t contain any information beyond what appears in the interface. If you need information about courses in a domain, you may find it by using other Concourse reports.
- In the Domain Structure Report, the number of courses in each domain combination includes hidden courses. If the number of courses seems too high or otherwise inaccurate, check the Hidden Courses Report to locate other courses that may be in the domains but not discoverable by search (Reports > System Reports > Hidden Courses).
- For the Domain Permissions Report, Audit only appears as a selectable permission if the Audit feature is enabled in your Concourse system.
- We recommend that you review the Domain Reports before and after making any changes to your system organization or domain permissions to ensure that your changes appear as intended and are accurate.
