Course Tags Release Notes

Summary

Course Tags are system-level identifiers that can be used to categorize courses beyond organizational markers such as department or subject. Course Tags can be used to identify collections of cross-curricular syllabi with similar characteristics (e.g., courses in English, Math, and Biology can all be tagged as OER or General Education).

Benefits

Course Tags extend the metadata of courses to improve the search experience. Along with improved searching capabilities, Course Tags lead to more targeted and efficient reporting, including combinations of results not currently available.

Availability

Course Tags are available in sandbox and production environments. 
  1. Course Tags can be curated (created and managed) at the system level by Concourse administrators. 
  2. Domain administrators are able to add and remove predefined Course Tags from courses at the course level and en masse. 
  3. If search is available in the Concourse system, all users can search based on Course Tags and find a list of courses to which a single tag is applied. 
  4. All users can view the Course Tags applied at the course level by accessing the course’s Info page.

Curating Tags in the Interface

  1. System admins navigate to Admin > System > Course Tags.
  2. Add a new Course Tag by entering a Label (user-facing Tag name), External ID (Tag abbreviation that aligns with other systems), and Definition (optional explanation of the Tag)
  3. Select Create to the right of the new Course Tag data fields
  4. Manage existing Course Tags by editing a single Tag’s Label, External ID, and/or Definition and select Update to the right of the edited data fields
  5. Delete a single Course Tag by selecting Delete to the right of the Course Tag’s data fields

Curating Tags via Feed

  1. Create a .txt feed file with the header row TAG_IDENTIFIER|LABEL|DEFINITION
  2. Create a separate row in the file for each tag to be created or updated
  3. Enter each Course Tag’s External ID for the TAG_IDENTIFIER data field
  4. Enter each Course Tag’s Label (user-facing Tag name) for the LABEL data field
  5. Optional: Enter each Course Tag’s Definition (explanation) for the DEFINITION data field
  6. To process the feed manually, navigate to Admin > Tools > Feed Processing
  7. For Type, select Manage Tag
  8. Select File and upload the .txt feed file from your device
  9. Select Process to run the feed

Setting Tags for a Course

  1. Access the course where a Course Tag will be set
  2. Navigate to Settings > Course
  3. At the bottom of the Optional Information pane, select a Course Tag to apply and select Save
  4. To apply or remove more than one Course Tag, hold CTRL and select the tags to apply then Save

Setting Tags en Masse

  1. Domain admins navigate to Admin > Tools > Set Course Tags En Masse
  2. Search for the courses where Course Tags will be applied or removed
  3. Select a group of courses and add/remove tags for selected results or add/remove tags for all results
  4. On the Set Tags page, select Set and Apply or Unapply to the right of each Course Tag that should be added to (Apply) or removed from (Unapply) the selected courses
  5. Select Set Tags

Setting Tags with a Feed

  1. Create a .txt feed file with the header row COURSE_IDENTIFIER|TAG_IDENTIFIER|APPLY
  2. Create a separate row in the file for each tag to be applied to or removed from a course
  3. Enter a course’s External ID for the COURSE_IDENTIFIER data field
  4. Enter the External ID of a single Course Tag to be applied to or removed from the course for the TAG_IDENTIFIER data field
  5. To apply the specified Course Tag to the course identified in the row, enter 1 in the APPLY data field
  6. To remove the specified Course Tag from the course identified in the row, enter 0 in the APPLY data field
  7. To process the feed manually, navigate to Admin > Tools > Feed Processing
  8. For Type, select Apply Tag
  9. Select File and upload the .txt feed file from your device
  10. Select Process to run the feed

Reporting on Course Tags

  1. System admins navigate to Reports > System Reports > Tag Utilization
  2. The resulting table presents the Label, ID, and Definition for each Course Tag in the system, along with the number of courses (and representative percentage) to which each Course Tag is applied
  3. Select a number in the Courses column to find a listing of all courses in the system to which a single Course Tag is applied
  4. Select Download CSV to generate a spreadsheet of the Tag Utilization Report that can be shared with other stakeholders

Interface Changes

Course Tags do not present in metadata for individual courses (syllabus header) or in search results. The following interface changes are apparent due to the implementation of Course Tags:
  1. System administrators and domain users view a multi-select panel of Course Tags in Course Settings for individual courses.
  2. Course Tags display at the bottom of individual course Info pages.
  3. The Advanced Search interface includes a criterion to allow users to search for courses to which a single tag is applied.
  4. Administrators view the Tag Utilization Report in the System Reports area of the Report Center.

Workflow Differences

As a feature, Course Tags does not change or inhibit the standard syllabus creation and management workflow. Note that Course Tags set on course templates are copied to section syllabi; any Course Tags applied to or removed from templates after section syllabi are created are NOT cloned into section syllabi. It is recommended that Course Tags be set at the template level prior to creating section syllabi.
